Key takeaways
- Name the report and its counting unit.
- Keep the event record beside the dated status check.
- Use the reconciliation to explain a gap.
What does recall reappointment rate count?
Dental Intelligence's Performance Board defines hygiene reappointment around booking the next hygiene appointment on the visit day. Its current scheduled-status view can also reflect later bookings. These are different measures. Dental Intelligence reappointment documentation, dated March 19, 2024 and reviewed September 18, 2026.
Before comparing two percentages, record the screen name, eligible visits, booking deadline and extraction date. Ask what a later booking or cancellation does to each field. A number copied from a dashboard without those details cannot show which part of the scheduling process changed.
The same vendor's Provider Pulse may count a patient for more than one provider. Adding provider totals can therefore differ from a practice-level view. Dental Intelligence provider metrics, dated July 11, 2024 and reviewed September 18, 2026. Confirm the actual counting unit before combining exports.
Reconcile the booking event with today's status
Use this invented example to separate two questions. Assume 100 eligible visits by 100 different people. All visit records are valid and fixed. Each person can have only one qualifying future appointment in this worksheet. At the review date, every future appointment discussed below is still in the future; none has been completed. The figures are not a benchmark or a forecast of attendance.
Of the 100 people, 65 book before leaving on the visit day. Another 15 book later. Five of the original 65 then cancel without booking again. No other records change.
| Worksheet question | Calculation | Result |
|---|---|---|
| Who booked on the visit day? | 65 ÷ 100 | 65% |
| Who has a qualifying future booking at review? | (65 + 15 − 5) ÷ 100 | 75% |
| Who lacks that booking at review? | 100 − 75 | 25 people |
The 15 later bookings improve the current count. They do not change the supplied same-day event record. The five cancellations reduce the current count without erasing the historical act of booking. These worksheet definitions are explicit assumptions; verify how the target's software treats the same events.
For one independent sensitivity, replace the 15 later bookings with eight, keeping five cancellations. The current result becomes 68%, while the same-day result stays 65%. Restore the original 15 later bookings and change only cancellations to zero: the current result becomes 80%, while the same-day result again stays 65%. The gap between these measures is evidence to explain, not an automatic error.
Use the right follow-up question
The first measure in this case tests what happened at checkout. The second helps identify today's unbooked group. Neither answers whether the next visit occurs or whether care is overdue. Those questions belong in a separately defined review, such as the hygiene and recall guide. A clinical team should determine care needs and timing; this worksheet sets neither.
For a sale discussion, provide the definition and aggregate reconciliation first. Keep early outreach seller-blind: omit owner and practice identity, exact location, financials and staff details. Require an NDA before authorized identifying disclosure. Bring staff into the work when their real scheduling or reporting duties require it, with access limited to that task.
For an acquisition, do not turn the extra bookings directly into earnings or loan capacity. Use the production and collections review and financing guide for those separate questions. A DSO buyer needs the same clear metric definition.
Summary
In this case, 65% and 75% describe different facts about the same starting group. The reconciliation explains the ten-point gap through later bookings and cancellations. Keep both definitions and the review date with any figure used in a sale packet. Schedule an intro call with Jason Taken at HedgeStone to discuss the evidence behind the report.
Frequently asked questions
Why do the example’s 65% and 75% differ?
Fifteen later bookings add to current status, while five cancellations reduce it. The original same-day count remains 65.
Can provider totals be added without checking the unit?
No. Dental Intelligence documents that Provider Pulse can count the same patient under multiple providers.
Is 75% a recommended target?
No. Every case input is fictional; no target is proposed.
Does a booking establish completed care?
No. Follow completion separately using an agreed definition and actual records.
